Absences and Make-up Lessons – All you need to know….

What is a Make up lesson?
If your baby or you are unwell and cannot attend a lesson, you are eligible to have another lesson in lieu. This is called a “Make up lesson” or “Make up” for short.
Make ups are intended for short term illness and unavoidable absences (eg pre-booked holidays/Dr appts), not for convenience.
We are generous with our make up allowance because we do not want people to attend if they are unwell and spread infection to other clients and teachers. No teachers = no lessons!
You are allowed 3 make-up lessons per term (5 for terms in 2023), however we cannot guarantee availability for reasons explained below.
How does the Make up system work?
When a client marks themselves absent, it creates a spot in that lesson for someone else to use as a make up.
Our lessons generally run full and we assume that all clients are coming to lessons so it is important that you mark yourself absent otherwise the system does not work.
No recorded absences by YOU means no make-ups available!
What am I required to do?
To make the system work, YOU need to mark yourself absent.
You can record an absence anytime and for any lesson in the current term.
In the example of illness, you will generally know when you or child should not be attending the night before or the morning/afternoon of your lesson.
You need to mark yourself absent at least 2 hours before your lesson time.
What happens if I do not mark myself absent?
If you do not show up for a lesson you will be marked as a NO SHOW.
A NO SHOW means that this lesson can not be made up.
How do I record an absence / check for a make up lesson?
Click on the link below which takes you to the My Makeup section of our booking system.
Once logged in, you will be able to mark yourself absent for any class in the weeks ahead for the current term.
Remember you won’t be able to mark yourself absent inside 2 hours so you will be recorded as a NO SHOW.
If no make ups are showing, that means parents have not marked themselves absent yet and you will need to check back again.
Once again, no recorded absences means no make-ups available!
What are my best chances of getting a Make up?
The more flexible you are, the greater the chance. For example travelling to the other pool or being able to get some time off work on different days.
A lot of parents mark babies absent close to the 2 hour window, so checking availability close to a lesson start time is a huge advantage.
In fact you can book a make up lesson up to 1 minute before a class starts.
To help you “zone in” on checking for availability, the timetable below shows what days and times your level is taught.
What other rules do I need to know about?
No make-up lessons are available within the first 14 days of term.
The system will show you availability until the end of term. You can check for availability and use your make-up lesson anytime after the first 14 days of term and the last date of term.
For baby classes, to increase the chance of a make-up lesson being available, the system will show availability for the current level and the level below. Regardless of the level you choose, you will need to follow the lesson plan for that day.
For Learn to Swim classes (no parent in the pool), the system will only show the current level.
You can book a make-up lesson before your known absence. Eg. You are on holiday week 9 of term. If you mark yourself absent, then you can use your make up in week 5.
If you have booked a make-up lesson and don’t intend/can’t use it, please release it in the parent portal at least 2 hours prior so it can be used for someone else.
If you don’t use a make-up lesson you have booked and do not cancel in advance as per the point above, you cannot get it back.
Your make up status “resets” each term and no unclaimed make ups can be refunded or carried over to a future term.
It is not possible to retract your absence if someone else books the spot.
